Parent/Guardian Overview

Learn how parent and guardian accounts work in Sprocket Sports, including household structure, access levels, player logins, and what admins can manage within each account tab.

Parents and guardians are the primary account owners in Sprocket Sports. Their account is what ties together registrations, communications, payments, and the players in their household. Households can include multiple parents or guardians, and each person can have a different access level.

This article covers both how parent or guardian accounts work, and what admins can see and manage on the admin side when viewing a parent or guardian profile.

Before you start

  • You must have admin access to Users and permission to view user profiles.

  • Not seeing a tab or option you expected? That typically means your role does not have access. Work with your club admin or your Client Success team to review permissions.

  • Staff setup and permissions are covered in a separate Staff Management collection. This article focuses on parent and guardian accounts.

What is a Parent/Guardian account?

A parent or guardian account is the main login used to manage a household in your club. In most clubs, parents and guardians use their account to:

  • Register players into programs

  • Receive club communications

  • View player information tied to their household

  • Manage household-level actions based on their access level

How households work

A household can include:

  • One or more players

  • One or more parents/guardians, each with their own login

This lets families share access without sharing a single email address or password.

Full Access vs Limited Access users

Each parent or guardian on a household can be set as Full Access or Limited Access.

Full Access

A Full Access user has full administration access to the account. This is typically the primary parent or guardian who manages household-level actions.

Limited Access

A Limited Access user has view-only access to player information, including calendars and messaging.

Limited Access is a good fit when someone needs visibility but should not manage account-level actions.

Note: Saved payment methods are tied to the individual user, not the household. Even if multiple parents or guardians are in the same household, each person will only see their own saved ACH or credit card details in their Wallet.

Can a player have their own login?

Yes, but two rules apply:

  1. Age requirement: Players must be 13 or older to create a login. There is no club-level setting that overrides this restriction.

  2. Parent enabled: A parent or guardian must manually enable this from their dashboard by selecting Allow Player Login.

Once enabled, the player can create their own login, but player access is still more limited than a parent or guardian account.

How to access a parent or guardian account

  1. In the left navigation, go to Users and open Manage Users.

  2. Search for the person you need.

  3. Select the user’s Last Name to open their account.

Once you’re in, you’ll see a set of tabs across the top. Each tab focuses on a different part of the user’s record.

Profile

Use this tab to view and update the user’s account details, including:

  • Basic Info (name and email)

  • Address Info

  • Other profile fields your club may have enabled

This page also includes common account tools like:

  • Change Password (admin can set a new password on behalf of the user)

  • Impersonate User (view the system as the member to troubleshoot or assist)

Account History

Use this tab for a household-level snapshot of financial activity, including:

  • Current household account balance

  • Payment history across registrations and due dates

  • Status indicators like paid or overdue

This is a good starting point when a family asks what they owe or what has been applied.

Programs

Use this tab to view program and registration history for the household. If the household includes multiple family members, you can switch between them using the Family Members dropdown.

This is helpful when you need to confirm whether a specific player is registered and which registration they are tied to.

Payments

Use this tab to view and manage payment activity for the household. Like the Programs tab, it can include a Family Members dropdown so you can toggle between household members.

Depending on your permissions and club setup, you may see options like:

  • Adding a payment

  • Recording an offline payment

  • Viewing scheduled, overdue, or completed payments

Roles & Permissions

Use this tab to manage which roles a user has in your club, such as Club Admin, Coach, Director, or Team Manager.

This is permission-based. If you do not have access to manage roles, you may not see this tab.

Volunteering

Use this tab to view volunteer status and volunteer points for the household. Depending on your setup, this can include:

  • Required volunteer points

  • Completed tasks

  • Volunteer requests

  • An option to adjust volunteer points

Notes

Use this tab to view and add internal notes tied to the user account. Notes are useful for recording context that other admins may need later. Parents will not see notes entered here.

File Cabinet

Use this tab to view, search, and manage files saved to the user account. This is typically used when you need to store documents or reference what has been uploaded previously.

FAQs

Can multiple parents or guardians be on the same household?

Yes. A household can include multiple parents or guardians, and each person has their own login and access level.

Why can’t I see certain tabs on a parent account?

Tab visibility is permission-based. If a tab is missing, your role likely does not include access to that section.

Can a player create their own login at any age?

No. Players must be 13 or older, and a parent or guardian must enable Allow Player Login before they can create their own account.

Are payment methods shared across the household?

No. Saved ACH and credit card details are tied to the individual user and are only visible in that person’s Wallet.
