If a parent says they cannot see volunteer shifts on their Calendar or Volunteering page, there are a few common causes. This article walks through what to check.
Before You Start
Volunteer Tracking must be set up at the event level. Shifts only appear if:
The event is published.
A volunteer task has been added to the event.
The parent is eligible to view that event.
Step 1: Confirm the Event Is Published
Go to Calendar and open the event.
Make sure the event is saved.
Confirm it is published and visible to the appropriate team or program.
If the event is still in draft mode, parents will not see it.
Step 2: Confirm a Volunteer Task Is Attached
Open the event and check the Volunteer Tasks section.
Make sure at least one volunteer task is added.
Confirm the task includes start and end times.
Save the event again after confirming.
If no task is attached, there is nothing for the parent to sign up for.
Step 3: Confirm the Parent Is Associated With the Correct Team or Program
Parents only see volunteer shifts tied to:
Their player’s team
Their player’s program
A club-wide volunteer event
If the parent’s player is not rostered to the correct team, the event may not appear.
Step 4: Impersonate the User
To confirm what the parent sees:
Impersonate the user.
Click Calendar.
Look for the event and confirm whether volunteer tasks are visible.
This helps isolate whether it is a configuration issue or a user misunderstanding.
If You Run Into Issues
If everything looks correct but the shift still does not appear:
Confirm the event is assigned to the correct team or program.
Confirm Volunteer Tracking permissions are enabled for the admin reviewing the setup.
Double-check that the volunteer task was saved properly.
If needed, recreate the volunteer task and resave the event.
