Not every club needs background checks or document uploads for volunteers. You can still collect volunteer interest without using Staff Credentialing.
This article explains how the workflow changes.
Before You Start
If Staff Credentialing is not enabled:
Parents can still select a volunteer role during registration.
No additional form will appear after checkout.
Admins must manually assign staff roles.
What Parents Experience
During registration:
Parents see the Volunteer Opportunities dropdown.
They select the role they are interested in.
They complete registration and payment.
After checkout:
No credentialing form appears.
No additional action is required from the parent.
How Admins Review Volunteer Interest
To see who expressed interest:
Go to:
Reports > Volunteers Report
This report displays:
The Volunteer Option selected
The parent name
The associated player
This allows you to review volunteer interest without requiring a form submission.
How to Assign the Volunteer Role Manually
Once you decide to approve a volunteer:
Go to the user’s profile.
Click the Roles and Permissions tab.
Add the appropriate Volunteer Role.
Save changes.
Then assign them to a team:
Go to Teams > Assign Staff.
Add the user to the appropriate team roster.
Until both the role and team assignment are completed, the volunteer will not be able to manage events or communications.
If You Run Into Issues
If a volunteer says they never received a form:
Confirm whether Staff Credentialing is enabled.
If it is not enabled, explain that no additional form is required.
If you expected a form to appear, review the credentialing setup.
