If a parent selected a volunteer role but did not see the credentialing form after registration, there is usually a configuration mismatch. This article walks through what to check.

Before You Start

The Volunteer Credentialing Form only appears if:

  • The Volunteer Opportunity is added to the registration.

  • The selected Volunteer Role matches a credentialing template.

  • The credentialing template is marked For Volunteering.

  • The credentialing submission window is active.

If any of these are misaligned, the form will not appear.

Step 1: Confirm the Volunteer Role Matches the Credentialing Template

Go to:

  • Club > Volunteer Settings

    • Open your Volunteer Option.

    • Review the Role assigned to each Value.

  • Next, go to:

  • Staff > Credentialing

    • Open your credentialing template.

    • Confirm the same Role is selected under Role(s).

    • Confirm the template is marked For Volunteering.

    • The role selected in Volunteer Settings must exactly match the role selected in the credentialing template. This mapping tells the system which form to display.

Step 2: Confirm the Volunteer Option Is Attached to the Registration

Go to:

  • Programs > Manage Programs > Registrations

Open the registration.

Click the Registration Form tab.

Go to the Checkout step.

Confirm the Volunteer Opportunities section is turned ON.

Confirm your Volunteer Option is attached.

If the display toggle is off, the volunteer question will not appear during checkout.

Step 3: Confirm the Credentialing Date Window Is Active

In Staff > Credentialing:

Open the template.

Review the submission window dates.

If the dates are expired or not yet active, the form will not display.

Step 4: Confirm the Parent Selected a Volunteer Role

If the parent selected “Not at this time” during checkout, no credentialing form will appear.

You can confirm their selection in the volunteer reports.

If You Run Into Issues

If everything appears correct but the form still does not show:

  • Confirm the credentialing template is tied to the correct program, if program-specific.

  • Re-save the Volunteer Option and the Registration to refresh the configuration.

  • Impersonate the parent to confirm what they see.
