How to Review and Approve Volunteer Submissions

Learn how to review, verify, and manage volunteer credentialing submissions, including assigning approved volunteers to teams and updating roles.

Once parents submit their volunteer credentialing form, an admin must review and verify the submission.

Before You Start

Make sure:

  • Staff Credentialing is enabled.

  • The volunteer role was properly mapped to the credentialing template.

Review Volunteer Submissions

  1. Go to Staff > Credentialing.

  2. Locate the credentialing template.

  3. Click View on the right side.

  4. Locate the volunteer submission.

  5. Click the Ellipses menu next to the name.

  6. Choose Verify, Reject, or Send Email.

When you click Verify:

  • The selected volunteer role is automatically added to the user’s profile under Roles and Permissions.

Assign the Volunteer to a Team

After verifying:

  1. Go to Teams > Assign Staff.

  2. Add the verified volunteer to the appropriate team roster.

You can also review volunteer interest reports:

  1. Go to Reports > Volunteer Role Requests if credentialing is enabled.

If You Run Into Issues

If a volunteer is approved but does not have the role:

  • Confirm you verified the correct submission.

  • Go to the user’s Roles and Permissions tab and manually add the role if needed.

What happens when I click Verify on a submission?
The selected volunteer role is automatically added to the user’s profile under Roles and Permissions.

Can I reject a volunteer submission?
Yes. Use the Ellipses menu next to the submission and choose Reject.

Do I still need to assign the volunteer to a team after verifying?
Yes. Verifying adds the role, but you must assign the volunteer to a team under Teams > Assign Staff.

Where can I see volunteer role requests in reports?
If credentialing is enabled, use Reports > Volunteer Role Requests to review volunteer interest data.
