Reports Center is available to most staff roles, but what you can see and do depends on your role, your permissions, and what teams you are connected to. This article explains how report access works so you can make sure the right staff members can view, create, and manage the reports they need.

How report access works

Report access is controlled by staff permissions. Your permission set determines:

  • Which reports you can see in the Reports Center

  • Whether you can save reports

  • Whether you can access advanced reporting features such as Custom Reports or Scheduled Reports

Most roles have access to at least one report, but access is not identical across roles.

Default access by role

These are general guidelines for how access is typically assigned.

Club Admin

Club Admins have the broadest access by default. In most setups, Club Admins can:

  • View all reports

  • Create and manage custom reports (when enabled)

  • Create and manage scheduled reports (when enabled)

  • Export and email report results (when available)

Coach, Director, and Team Manager

Coaches, Directors, and Team Managers typically have access to a smaller set of reports. What they can see is commonly limited to:

  • Reports relevant to team operations and engagement

  • Reports scoped to the teams they are connected to

In addition to permissions, these roles often need to be assigned to teams to pull meaningful results.

Why a report may show no data

If a staff member can open a report but sees little or no data, it usually comes down to access scope rather than a reporting error.

Common causes include:

  • Not rostered to the right team(s)
    Many staff-facing reports only return results for the teams the staff member is assigned to. If they are not rostered, the report may return no results.

  • Missing access to the underlying feature area
    Reports pull from specific parts of the system. If a staff member does not have access to the area the report is sourcing from, the report may appear empty even if the staff member can open it or give the staff a blocked error message when attempting to run the report.

  • Report filters are too narrow
    If filters are set to a season, program, or date range that does not match the staff member’s assigned teams or activity, the report may return no records.

Best practices for assigning report access

  • Start by confirming what a staff member needs to do: view only, export lists, build custom reports, or manage scheduled reports.

  • Assign the minimum permissions needed for that job, then validate that the staff member can see the correct data.

  • For Coaches, Directors, and Team Managers, confirm team assignments before troubleshooting report results.
