In Sprocket, a staff member is any user who has been given staff access through one or more roles and permissions.

Staff member definition

A user becomes a staff member when an admin assigns them at least one of the following:

  • A staff role (such as Club Admin, Director, Coach, Team Manager, Volunteer Coach, or Volunteer Team Manager)

  • Staff-level permissions that grant access to admin or team management areas

Once a user has staff access, they can appear in staff areas of the platform, and their experience may include staff dashboards, team tools, and staff communication features, depending on what you grant them.

Roles vs permissions

Roles are the primary way Sprocket groups access by job function. Roles typically come with a default set of permissions.

Permissions are the specific capabilities a user can have (for example, access to Programs, Teams, Reports, or Calendar tools).

Most clubs use roles to set a baseline, then add or remove permissions when someone needs more limited or more specialized access.

Examples of staff members

A user may be a staff member if they are:

  • A club administrator managing registrations, payments, and settings

  • A director overseeing specific programs or teams

  • A coach or team manager assigned to one or more teams

  • A parent volunteer who has been granted a Volunteer Coach or Volunteer Team Manager role

  • A board member with view-only dashboard access
