Before you start

  • You’ll need admin access to the Communications > Admin Communications area in Sprocket.

Where to find Email Templates

  1. In the left navigation, go to Communications.

  2. Select Templates.

You’ll land on a Templates page that shows your existing templates, along with template groups on the left.

Create a new email template

  1. On the Templates page, click + Add Template.

  2. Fill out the required details:

Template Name: Give your template a clear, recognizable name (example: “Spring Season Payment Reminder”).

Template Group: Choose the group that best matches the type of message you are creating.

  • Invitation and Rejection groups are used for rostering workflows.

  • All other groups can be used for your regular email communications.

  1. In Template Content, build your email using the editor.

This is a WYSIWYG editor, meaning “What You See Is What You Get.” The formatting you apply while editing is how the email will appear when sent.

Use the toolbar to format text, add links, and structure your message.

  1. Optional: If you do not want the template available right now, check Inactive.

  2. Click Save.

Manage templates after you create them

From the Templates list, you can keep templates organized and up to date:

  • Use template groups on the left to filter what you see.

  • Use Show inactive templates if you need to find older templates you previously turned off.

  • Use the actions menu next to a template to manage it (for example, cloning an existing template to reuse the layout).

Tips for consistent club branding

  • Put your club name and a standard sign-off in every template.

  • Keep the subject line and opening sentence aligned with the purpose of the message.

  • If you send similar emails each season, clone a template instead of starting from scratch.

If you run into issues

If you cannot access Communications → Templates, confirm your admin permissions. If templates are not showing up, check your selected template group and whether Show inactive templates is turned on.
