How to Track, Review, and Verify Staff Credentialing Forms

Learn how to track staff credentialing progress, review submissions, send reminders, and verify or reject credentialing forms.

Once staff credentialing is live, you can track who has started, who has submitted, and who still needs a reminder. You can also review submissions, verify them, or reject them if updated documentation is needed.

Before you start

This is available on the web browser only.

Step 1: Open the Staff Credentialing dashboard

  1. In the left navigation menu, go to Staff > Credentialing.

  2. You will see a list of your Staff Credentialing templates, each with a status:

    • Active: The template is within the Start Date and End Date window and is open for staff to complete.

    • Inactive: The template is outside the window and is closed for staff completion.

Note: Admins can also view completion on their Admin Dashboard in the Staff Credentialing card.

Step 2: Understand the links next to each template

Next to each credentialing template, you will see:

  • Settings: Opens the credentialing template form so you can update what staff are asked to complete or upload.

  • View: Opens the staff list for that template so you can review completion and submissions.

Tip: Clicking the template name opens the template details where you can adjust the Start Date, End Date, and the roles assigned to that template.

Step 3: View staff submissions for a specific template

From Staff > Credentialing, click View next to the credentialing template you want to review.

A staff list will open showing each staff member tied to that template, along with:

  • Completion Status

  • Approval Status

  • Ankored Status (if applicable)

Step 4: Filter and find the right staff members

At the top of the staff list, you can search for a specific staff member by name and filter using any combination of the filters below.

Completion Status

  • Complete

  • Incomplete

  • Not Started

Approval Status

  • Pending Verification

  • Verified

Ankored Status (if applicable)

  • Cleared

  • Incomplete

  • Optional

  • No Requirements

  • Not Activated

  • Not confirmed

  • Disqualified

Step 5: Follow up with staff who are not done

See where someone stopped


If a staff member is marked as Incomplete, you can click into the Incomplete status to see which step of the credentialing form they stopped on.

Send reminder emails in bulk


At the top of the page, you can send reminder emails using a dropdown selection. You can choose to email:

  • Not Started or Incomplete

  • Incomplete only

  • Not Started only

After you select a group, Sprocket opens a draft email screen so you can write and send a reminder to that bucket of staff for that specific credentialing template.

Step 6: Verify or reject completed submissions

What “Pending Verification” means
Once a staff member submits their credentialing form, their Approval Status moves to Pending Verification. This indicates the submission is ready for admin review.

Verify, reject, or email one staff member
Use the three-dot menu next to the staff member to:

  • Verify

  • Reject

  • Send Email (an individual email)

Verify or reject multiple staff members at once
To take action in bulk:

  1. Select staff using the checkbox next to each name.

  2. Choose Verify or Reject to apply that action to everyone selected.

What happens if you reject a submission
Rejecting a staff member’s credentialing:

  • Moves them back to Incomplete

  • Reopens the credentialing banner for them

  • Allows them to update their information and submit new documentation for review

If you run into issues

If a staff member is not listed under View, confirm they have a role included in that credentialing template and that the template is within the active date window.

FAQs

Where do I find credentialing templates and their status?

Go to Staff > Credentialing to see all templates and whether each is Active or Inactive based on the Start Date and End Date window.

How do I review submissions for one template?

From Staff > Credentialing, click View next to the credentialing template you want to review.

How do I send reminders to staff who haven’t completed credentialing?

Use the reminder dropdown at the top of the staff list to email Not Started and/or Incomplete staff. Sprocket will open a draft email screen for that template.

What happens when I reject a submission?

The staff member is moved back to Incomplete, the credentialing banner reappears for them, and they can update their information and resubmit for review.
