If parents or players are not able to RSVP to an event, it is usually due to how the event is configured or who the event is shared with.
1. The event is not set to Collect RSVP
RSVPs are only available if the event is configured to collect them.
Open the event in the Calendar.
Check whether Collect RSVP is selected in the event details.
If Collect RSVP is not enabled, parents will be able to see the event (if it is visible to them) but will not see options to mark Going, Not Going, or Maybe.
2. The RSVP window is locked or the event has started
RSVPs can be locked a set number of hours before the event start time.
In Calendar Settings, the option How many hours before an event should RSVPs be locked? controls when RSVP changes are no longer allowed.
If this is set to a number greater than 0, parents will not be able to update RSVPs inside that window before the event.
By default, this is 0 hours, which means RSVPs close when the event starts.
If the event is already in progress or in the past, parents will no longer be able to submit or change their RSVP.
3. The event is not visible or not tied to the correct team
Parents can only RSVP for events that are:
Visible to them
Tied to teams or players they are connected to
Check the following:
Event Type and visibility
If Staff Only Event is selected, parents will not see the event and therefore cannot RSVP.
If the event is set up in a way that is intended only for staff, it will not accept RSVPs from parents.
Team assignment
Confirm the event is assigned to the correct team or teams.
Parents can only RSVP to events that include their child’s team.
If the event is not connected to the right teams or is staff only, parents will not have RSVP options.
4. Parents are trying to RSVP from an external calendar
RSVPs must be submitted from Sprocket, not from external calendar tools.
If a parent is viewing events in:
iOS Calendar
Google Calendar
Outlook
Another subscribed calendar
They will see the event details but will not be able to RSVP from that external calendar.
They need to:
Use the Sprocket mobile app, or
Log in to the Sprocket web portal
to submit or update their RSVP.
5. RSVP is on for players but not for staff
If staff are trying to RSVP as staff rather than as a parent, confirm:
Collect RSVP is enabled for players
Collect Staff RSVP is enabled if staff responses are also needed
If Collect Staff RSVP is not checked, staff may not see RSVP options on their staff view of the event.
