Reminder Settings

Learn how Reminder Settings control when event and participation notifications are sent, and how these global settings impact all Event Types and Teams.

Updated over a week ago

Reminder Settings control when and how Sprocket sends notifications before events. These tools help ensure families, players, and staff receive timely reminders about what is coming up on their calendars.

All reminders are sent as push notifications to the mobile app and/or emails, depending on each user’s individual notification preferences.

Enable Event Reminders

The Enable Event Reminders checkbox controls whether standard event reminders are sent before events.

When this box is checked, Sprocket will send reminder notifications ahead of upcoming events.

When this box is unchecked, no standard event reminders will be sent for events governed by these settings.

This setting is focused on general event awareness: making sure people remember that an event is happening. This is a global setting and will impact all Event Types and Teams.

Send Event Reminders “X” Hours Before Event

This setting only applies if Enable Event Reminders is checked.

You can choose how many hours before the event the reminder should be sent.

Notifications can be scheduled up to 1 hour before the selected time.

By default, this value is set to 12 hours.

For example, if you set reminders to go out 12 hours before an event that starts at 6:00 PM, the reminder will be scheduled for 6:00 AM that day.

Enable Event Participation Reminders

The Enable Event Participation Reminders checkbox controls a second type of reminder, focused specifically on participation (RSVPs).

When this box is checked, Sprocket will send reminders prompting users to update or confirm their participation status.

When this box is unchecked, no participation-specific reminders will be sent.

Participation reminders are more targeted: they are sent only to members who have not already set their RSVP status for the event.

Send Event Participation Reminders “X” Hours Before Event

This setting only applies if Enable Event Participation Reminders is checked.

You can choose how many hours before the event participation reminders should be sent.

Notifications can be scheduled up to 1 hour before the selected time.

By default, this value is set to 36 hours. This is a global setting and will impact all Event Types and Teams.

For example, if participation reminders are set to 36 hours and the event starts at 6:00 PM, users who have not yet responded with Going, Not Going, or Maybe (when RSVPs are enabled for the event) will receive a reminder at 6:00 AM the day before to update their status.

How Reminder Settings Work Together

Many organizations choose to use both reminder types:

  • Event Reminders help everyone remember that the event is happening.

  • Event Participation Reminders help ensure RSVP data is accurate by nudging only those who have not yet responded.

You can enable either, both, or neither, depending on how frequently you want to contact your users and how important RSVP data is for your events.
