Understand how Calendar Event Settings control default views, RSVP behavior, privacy, and paid sign-up cancellation rules across your club.

Calendar Event Settings let you control the default behavior of your club calendar and the events created on it. These settings are managed from the Calendar Settings gear icon on the Calendar page and help standardize how events display, how RSVPs work, and how cancellations are handled for paid sign-ups.

This article provides an overview of each setting and what it affects.

Default Calendar View

Default Calendar View determines which view loads first when you open the Calendar. If you leave and return to the Calendar tab, you will see the View of the Calendar you last were using.

View options include:

  • Month

  • Week

  • Day

  • List

Choose the view that best matches how your admins typically work. For example, Month is useful for high-level planning, while Week or Day may be better for detailed scheduling.

RSVP Defaults

These settings control how RSVP behavior is configured by default for new events.

Default New Events to Collect RSVP

When Default New Events to Collect RSVP is checked:

  • New events will default to collecting RSVPs from members and players.

  • Users will be able to respond with Going, Not Going, or Maybe Going (when RSVPs are supported for that event type).

When this box is unchecked, new events will not automatically request RSVPs, though you may still be able to enable RSVPs on individual events where applicable.

How Many Hours Before an Event Should RSVPs Be Locked?

This setting defines when RSVP updates should stop before an event begins.

It is expressed as a number of hours before the Event’s Start Time.

Once this time threshold is reached, members and players can no longer change their RSVP selection.

The default value is 0 hours, which means RSVPs remain open until the event starts.

You can increase this value if you need more lead time to plan based on final attendance (for example, locking RSVPs 2 or 4 hours before the event begins).

Default RSVP to “Going” for Events That Collect RSVP

When Default RSVP to “Going” for Events that collect RSVP is checked:

Members and players will be set to Going by default for events that are configured to collect RSVPs.

This can be helpful if you assume participation unless someone opts out. If you prefer users to explicitly confirm their attendance, you may choose to leave this unchecked.

Privacy Defaults

Default New Events to Be Private Events

When Default New Events to be Private Events is checked:

New events will default to being Private.

Private events do not show on the organization’s public-facing calendar.

They are only visible to logged-in members, and visibility can be as specific as a member’s team calendar for team-based events such as practices and games.

If this is unchecked, new events default to being visible on public-facing calendars.

Paid Sign-Up Cancellation Settings

These settings apply to scenarios where members have signed up for paid time slots (like private lessons) that appear on their calendars.

Allow Cancellations for Paid Sign Ups

When Allow Cancellations for Paid Sign Ups is checked:

Members are allowed to cancel their paid sign-ups from their calendar, subject to the cancellation timing rules you set.

When this box is unchecked, members cannot cancel paid sign-ups themselves from the calendar.

Allow Cancellations “X” Hours Before Time Slot

This setting only applies if Allow Cancellations for Paid Sign Ups is selected.

It defines how many hours before the time slot a member can cancel a paid sign-up from their calendar.

Once the specified number of hours before the time slot has passed, the member will no longer be able to cancel that paid sign-up on their own.

This allows your organization to enforce a clear cancellation window for paid sessions, while still giving members self-service flexibility within that window.
