Learn how to enable Attendance Tracking, configure when attendance opens, and manage pre- and post-event attendance reminders.

Attendance Tracking allows your organization to record who actually attended an event, helping coaches and admins keep accurate records throughout the season. These settings are managed from the same Calendar Settings gear icon used for other Calendar Event Settings.

This article explains how to enable Attendance Tracking and how to configure when attendance can be taken and when reminders are sent.

Enable Attendance Tracking

To use attendance features across your events, you’ll first need to turn on Attendance Tracking.

In the Calendar Settings panel, select the Enable Attendance Tracking checkbox.

Once this box is checked, additional options will appear to control when attendance opens and how reminders behave.

If this checkbox is not selected, attendance tools and reminders tied to attendance will not be available.

When Should Attendance Taking Be Opened?

This setting controls when attendance can be taken relative to the event’s start time.

By default, attendance opens 30 minutes prior to the Event’s Start Time.

You can adjust this to one of the following options:

  • 5 minutes before the event start

  • 30 minutes before the event start (default)

  • 1 hour before the event start

Choose the option that best matches how your coaches and staff typically operate. For example, if coaches like to confirm attendance right at kickoff, 5 minutes before start might be enough; if they prefer more lead time, 30 minutes or 1 hour may be a better fit.

Pre-Event Attendance Reminder

Pre-event reminders are designed to prompt staff to take attendance around the time it becomes available.

Enable Pre-Event Attendance Taking Reminder

Select the Enable Pre-Event Attendance Taking Reminder checkbox to turn on pre-event reminders related to attendance.

If this box is not checked, no pre-event attendance reminder will be sent.

When Should Pre-Event Reminder Be Sent?

When the pre-event reminder is enabled, you can specify when it will be sent relative to the event start:

  • The default setting is 30 minutes before the Event’s Start Time.

  • You can update this to 1 hour before the event starts if your staff needs more lead time.

This reminder timing is independent of the exact moment that attendance opens, so you can choose the combination that works best for your workflow.

Post-Event Attendance Reminder

Post-event reminders help ensure attendance is actually recorded, especially when an event has already concluded.

Enable Post-Event Attendance Taking Reminder

The Post-Event Attendance Taking Reminder is controlled by a dropdown option:

  • By default, it is set to Send if attendance has not been taken.
    In this mode, a reminder is sent after the event only when attendance has not yet been recorded.

  • You can also set this dropdown to Disabled if you do not want any post-event attendance reminders sent.

This gives you flexibility to prompt staff to complete attendance after events, or to keep the experience quieter if your organization prefers to avoid additional reminders.

How Attendance Tracking Settings Work Together

These settings are designed to support a full attendance workflow:

  • Enable Attendance Tracking turns the feature on or off at a global level.

  • When should Attendance Taking Be Opened? defines when staff can begin recording attendance relative to the event start.

  • Pre-event reminders help ensure staff remember to take attendance as events begin.

  • Post-event reminders provide a safety net in case attendance was not recorded during or immediately after the event.

You can tune each component to match how your organization manages events and how often you want to prompt staff to complete attendance.
