Review the main Calendar event types you can create in Sprocket and learn what optional event details can be added to improve clarity and communication.

Sprocket’s Calendar gives your organization a flexible way to plan and share everything happening across your season. This guide provides an overview of each event type you can create from the Calendar, along with a breakdown of optional details you can add to keep your events organized and easy for families and staff to understand.

Event Types

There are four primary event types you can create directly from the Calendar. These control how the event behaves, who can see it, and where it appears for players and families. In addition, there are a few event types that are created from other parts of the platform, such as Ticketed Events, Sign Ups, and Facility Rentals, which also appear on the Calendar once they are created.

Club

Club events are open to everyone in your organization. They aren’t tied to teams, so all families can see them by default. These work well for activities that bring the whole club together, regardless of age group or program.

Common examples include watch parties, fundraisers, award banquets, and end-of-season celebrations.

Games

Games are tied to a single team. Players will only see a game on their calendar if they are assigned to that team. Game events support all the details you need for matchup-specific scheduling.

Games are best for league play, scrimmages, tournaments where a team plays a single match, or any activities involving opponents.

Practices

Like games, practices are tied to a specific team and only visible to that team’s players. Practices can be set as recurring when they happen at the same time each week or follow a consistent training rhythm.

Use this type for regular training sessions or any predictable team-level activity.

Other

The Other event type is designed for anything that doesn’t fit neatly into Club, Game, or Practice. These can be events for multiple teams, staff-only gatherings, or mixed-group activities such as evaluations, media days, or travel blocks.

Admins can select one or more teams or limit visibility to staff when appropriate. When multiple teams are selected for an event, the system will create a separate event for each team. You will have the ability to edit them all at once or edit just one or some of the events in the group afterward.

About Ticketed Events

Ticketed Events are created outside the Calendar and are covered in a separate article. These allow organizations to build events that have costs associated with them and can be purchased by both members and the general public. Although they display on the Calendar, they follow a different setup flow than the four core Calendar event types.

About Sign Ups Events

Sign Ups Events are created automatically from the Sign Ups module.

When a player registers for a Sign Up session, such as a private lesson, small group training, or another bookable slot, an event is added to the Club Calendar.

These events represent the booked time for that Sign Up session and will appear on the relevant calendars for members and staff, based on how the Sign Up offering is configured.

Changes or cancellations for these events are usually managed from the Sign Ups workflow, not by editing the event directly on the Calendar.

About Facility Rental Events

Facility Rental Events are created from the Facility Rental page when someone books a time slot at a location.

When a rental is confirmed, an event is added to the Calendar so that the booked time shows alongside practices, games, and other events.

These events help staff see which fields, courts, or rinks are reserved, and help renters confirm their reservation time.

The booking itself, including changes and cancellations, is managed from the Facility Rental flow rather than from the Calendar event.

Facility Rentals will be explained further in a dedicated article, including how booking rules and availability are configured.

Optional Event Details

When creating or editing an event, you’ll see a number of optional details you can add. These are not required, but they can help provide clarity, improve communication, and ensure families have the right information.

Below is a description of each optional field and how it’s typically used.

Event Tag

A short label that appears alongside the event name. Use this for quick highlights such as “Playoffs,” “Team Event,” or “Uniform Pickup.” Tags help call attention to key information at a glance.

Show Time

Controls whether the event’s start and end times appear on calendar views. This is enabled by default.

Show Time as TBD

Displays “Time TBD” instead of an exact time. Useful when you know the date but not the final schedule.

Recurring

Marks the event as recurring and opens two additional fields: Frequency and Repeat Until. Ideal for practices or any repeating event. If you select a Custom recurrence, you can also select specific days of the week to for the event to recur on.

Location

Assign a location so families know where the event takes place. You can select an existing location or create a new one.

Field

Specifies the exact field or surface at the selected location. This is helpful for larger facilities with multiple playing areas.

Arrival Time

Allows you to enter an arrival requirement prior to the event’s start time. Commonly used for games or events with warm-ups.

Collect RSVP

Enables RSVP collection from players. Players can respond with Going, Not Going, or Maybe Going, which helps teams plan attendance.

Notes

A space for internal notes.

Collect Staff RSVP

Allows staff to submit RSVPs using the same Going / Not Going / Maybe Going options.

Private

Marks the event as private. Private events only appear for users who are logged into the Sprocket platform.

Staff Only Event

Restricts visibility so only staff members can see the event. Useful for internal meetings, training sessions, or planning events.

Short Description

A brief summary families will see when opening the event. This is a good place to add context, instructions, or expectations.
