Staff Chats Overview

Learn how Staff Chats work in the mobile app, including how to start internal staff messages, manage group chats, and coordinate without involving families.

Staff Chats are a staff-only messaging space in the mobile app. Like Team Chats, they work like a standard messaging app, but they are designed for internal communication between staff members. This is the easiest way to coordinate with coaches, directors, and team managers without involving families.

Before you start

  • Staff Chats are available on the mobile app only.

  • Only staff members can access Staff Chats.

Step-by-step instructions

Start or manage a staff chat from Home

  1. Go to the Home tab.

  2. In Quick Actions, tap Staff Chat.

  3. Choose an existing staff chat, or tap the pencil icon in the top-right corner to start a new chat.

  4. Select your recipients, then tap Next.

  5. Type your message, then tap the blue arrow to send.

Start a staff chat from Messages

  1. Go to the Messages tab.

  2. Tap the floating + button in the bottom-right corner.

  3. Tap Staff Messaging.

  4. Select your recipients, then tap Next.

  5. Type your message, then tap the blue arrow to send.

Rename a group staff chat

If your chat includes more than one recipient, you can rename the chat to make it easier to find later.

  1. Open the group staff chat.

  2. Tap Members.

  3. Tap Edit.

  4. Update the chat title, then tap Save.

Tips and best practices

  • Use Staff Chats for internal coordination, like schedule changes, staffing needs, or quick questions.

  • Rename group chats by purpose (for example, “Weekend Tournament Staff”) so they are easy to find later.

  • If you need to message families, use Team Chats instead of Staff Chats.

Troubleshooting

Issue: I do not see Staff Chat in Quick Actions.
Why it happens: The user may be in Member view, or their role does not have staff access in the app.
How to fix it: Switch to a staff view at the top of Home if available. If it is still missing, ask a club admin to confirm the user’s staff role and permissions.

Issue: I do not see Staff Messaging when I tap the + button in Messages.
Why it happens: Staff messaging is only available to staff roles.
How to fix it: Confirm the user is logged in with a staff account and has staff permissions enabled.

Can families see Staff Chats?

No. Staff Chats are staff-only and are not visible to families or members.

Where do I start a new Staff Chat?

You can start a new Staff Chat from the Home tab using Staff Chat in Quick Actions, or from the Messages tab by tapping the + button and selecting Staff Messaging.

Why don’t I see the Staff Chat option?

You may be in Member view or your account may not have staff permissions. Switch to a staff view if available or ask a club admin to confirm your access.
