Cancelling Events (Individual and in Bulk)

Learn how staff can cancel individual events or bulk cancel multiple events in the mobile app while keeping events visible and clearly marked as cancelled.

Staff members can cancel events from the mobile app in two ways. You can cancel a single event from its event details, or you can bulk cancel multiple events using the Cancel Events quick action. Cancelling keeps the event on the calendar while clearly marking it as cancelled. This is useful when you want to communicate a change without removing the record of the event.

Before you start

  • Cancelling events is a staff-only action and depends on role and permissions.

  • A cancelled event stays on the calendar. It is not the same as deleting an event.

Step-by-step instructions

Cancel an individual event

  1. Open the event from any of the following places:

    • Upcoming Events

    • Team Schedule

    • Unified Calendar

  2. Tap Edit in the top-right corner.

  3. Scroll to Additional Options.

  4. Turn on Cancelled.

  5. Save your changes.

What to expect:

  • The event remains on the schedule, but it is marked as cancelled for viewers.

Bulk cancel events

Bulk cancelling is best when you need to cancel multiple events at once, like weather cancellations or facility closures.

  1. Go to the Home tab in the app.

  2. Tap the Cancel Events quick action.

  3. Select a start date and time and an end date and time to set the range you want to search.

  4. Continue to the next step to choose locations.

Select locations (optional)

If your events use facilities or fields, you may be prompted to select locations.

You have two options:

  • Tap Next and select the fields or facilities you want to include.

  • Tap Continue without selecting Field(s) to find all events in the date range, regardless of location.

Review and confirm cancellations

After you set your date range and location options, you will be able to:

  • Review the list of events that match your criteria

  • Select which events to cancel

  • Confirm the cancellation

Tips and best practices

  • Use cancellation (instead of deletion) when you want families to clearly see that an event was planned but is no longer happening.

  • For large schedule changes, bulk cancellation is faster than editing events one at a time.

  • If you do not use facility assignments consistently, choose the option to continue without selecting fields so you do not miss events.

Troubleshooting

Issue: I do not see the Cancelled toggle when editing an event.
Why it happens: The user may not have staff permissions to edit events, or the event cannot be edited from that view.
How to fix it: Confirm the user is in a staff role view. If the edit option is still missing, have a club admin confirm event editing permissions.

Issue: Bulk cancel shows no events in the date range.
Why it happens: There may be no events scheduled in that range, or the selected locations do not match where events are assigned.
How to fix it: Confirm the date range first. Then try Continue without selecting Field(s) to include events regardless of location.

Cancelling keeps the event on the calendar and marks it as cancelled. Deleting removes the event entirely.
