Learn how to configure Facility Rentals for your club.

Before You Start

Staff must have all permissions:

  • Facility Rentals > Settings

  • Facility Rentals > Manage Rentals

  • Calendar > Club Calendar

Setup Steps

  1. Navigate to Calendar > Facility Rentals.

  2. Choose who can book: Staff only, Members only, or Both.

  3. Set your default time slot duration.

  4. Set your default rental price.

  5. Choose when payment is due

    1. At booking

    2. After the rental ends

  6. Configure:

    1. Rolling reservation window

    2. Cancellation cutoff

  7. Add Terms & Conditions and access notes.

  8. Enable Rentals on each Sub-Facility as needed.

  9. Review your Field Calendar to ensure availability is accurate.

Important Notes

There is no cart hold. The first person to complete payment gets the slot.

Refunds process automatically when users cancel within the allowed window.

Admins can cancel and refund even after the cancellation deadline.

Best Practice

Add team practices and games first. Then open rental slots for the remaining availability.

This prevents unintended booking conflicts.

If You Run Into Issues

If slots disappear:

  • Check if a practice or game was added that overlaps.

  • Review your rolling reservation window.

  • If payments fail:

  • Confirm the user has a valid payment method.
