Draft events let admins build out schedules in advance without immediately sharing those events with families and players. This is helpful when you are still finalizing details, confirming field assignments, or reviewing a full schedule before making it public.
This article explains how draft events work, how they appear on the Calendar, and how to publish them once you are ready.
What Is a Draft Event?
A draft event is an event that has been created but not yet published to families and players.
Draft events are only visible to admins and staff members assigned to the associated team.
Members (parents) and players will not see draft events on their calendars until those events are published.
A note appears below the Save As Draft option stating:
“Draft Events are only visible to admins until published.”
Draft status is controlled during event creation and through the Calendar view.
Saving an Event as a Draft
When creating a new event, admins can choose to save it as a draft instead of publishing it immediately.
In the event creation modal, select Save As Draft.
The event will be saved in a draft state and will not be visible to Members or players.
This allows you to build out events, review them, and make any changes before publishing to your organization.
How Draft Events Display on the Calendar
Once an event is saved as a draft, it will appear on the Calendar for admins in a clearly marked draft state:
Draft events display with a greyed-out background on the event card. In the Week and Day Views, Draft events display with a dotted-line border, and will include a Draft tag in the List View.
This visual treatment helps admins quickly distinguish between published events and drafts.
If admins prefer not to see draft events, they can control this using the Calendar’s visibility settings.
Include Unpublished Events Toggle
On the Calendar, there is an Include Unpublished Events toggle:
This toggle is on by default, which means draft events are included in the Calendar view for admins.
Turning the toggle off hides all draft events from the current view.
This is useful when you want to focus only on events that are already published, or when your draft list is large and you want a cleaner working view.
Publishing Draft Events
When you are ready to make draft events visible to Members and players, you can publish them from the Calendar view.
At the top of the Calendar, admins will see a Publish button when draft events are present.
Click the Publish button.
A modal will appear asking whether you want to publish all visible draft events.
“Visible” depends on your current Calendar view: Month, Week, Day, or List. Drafts outside the visible range will not be included.
In the modal, you’ll see three options:
Yes – Publish all visible draft events in the current view.
No – Cancel and leave all events in draft.
View Events – See a more detailed list of draft events before publishing.
Publishing Specific Draft Events
If you select View Events in the modal:
You’ll see a list of draft events, based on your current view and filters.
From this list, you can either:
Publish specific events individually, or
Publish all events on the list at once.
This gives admins more granular control when only certain drafts are ready to go live.
Alternatively, you can publish individual draft events by opening the specific event’s Event Details modal, clicking the three-dot dropdown button and selecting Publish.
What Happens When Events Are Published
Once draft events are published:
Members (parents) and players can see the events on their team calendars, as long as the event applies to their team.
Published events behave like any other live event in the system, including visibility on web and mobile for the relevant users.
If details need to be adjusted after publishing, admins can edit the events through the standard event update workflow.
