Extending a Player’s Invitation Date

Learn how to extend the Accept By Date for invited players in invite-only programs so families can access registration again before the deadline.

Invite-only programs often use an Accept By Date in the invitation email to set a hard deadline for families to claim a roster spot.

When the Accept By Date passes:

  • The invitation expires

  • The invitation banner is removed on web and mobile

  • The player can no longer access the registration to accept their spot

If you need to give a family more time, you can extend the invitation by updating the Accept By Date from the Assign Players page.

Before you start

You will update Accept By Date using the same Assign Players pathway that was used to create the invitation:

  • Assign Players From Any Program

  • Assign Players from Tryouts

  • Assign Players from Prior Team

If you are unsure which pathway was used, start by checking Assign Players From Any Program, since it is the most common.

Option 1: Extend Accept By Date (Assign Players From Any Program)

  1. Go to Teams > Assign Players.

  2. Use filters to find the desired players, then click Get Players.

  3. You can also click Get Players without filters to view all players.

  4. In the Team Assignment column, click the gear icon next to the player.

  5. Select Change Accept by Date.

  6. Enter the new date and time, then click Save.

Option 2: Extend Accept By Date (Assign Players from Tryouts)

  1. Go to Teams > Assign Players.

  2. Under Assign From Tryout, use the filters to find the desired players.

  3. Under Assign to Team, enter the team name you want to extend the invitation date for.

  4. In the Status column, click the gear icon next to the player.

  5. Select Change Accept by Date.

  6. Enter the new date and time, then click Save.

Option 3: Extend Accept By Date (Assign Players from Prior Team)

  1. Go to Teams > Assign Players.

  2. Under Assign From Team, use the filters to find the desired players.

  3. Under Assign to Team, enter the team name you want to extend the invitation date for.

  4. In the Status column, click the gear icon next to the player.

  5. Select Change Accept by Date.

  6. Enter the new date and time, then click Save.

What happens after you extend the invitation

Once saved, the player’s invitation is updated with the new Accept By Date. The family should be able to access the registration again as long as the new deadline has not passed.

Tip: If the family is still unable to access the registration, confirm they are logging into the same account email that received the invitation.

If you run into issues

You do not see “Change Accept by Date”: Confirm the player has an existing invitation. This option only appears for invited players.

The invitation still appears expired: Refresh the page after saving and confirm the new date and time were applied.

The family still cannot register: Confirm the Accept By Date is in the future and the program/registration is still available.

Do I need to resend the invitation after extending the date?
The invitation is updated with the new Accept By Date after you click Save.

What if the family still can’t access registration?
Confirm the Accept By Date is in the future and they are logging into the same email address that received the invitation.

Use the gear icon next to the player on the Assign Players page and select Change Accept by Date.
