Rejecting or Removing a Player from a Team (Invite-Only Programs)

Learn how to remove players in invite-only programs, send rejection notifications, and undo a removal if needed.

Invite-only programs use the Assign Players page both to build rosters and to remove players who will not be invited to register.

Before you start

Removal uses the same entry points as rostering. If you need help getting to the correct Assign Players path (Tryouts, Prior Team, etc.), start here:

Once you are on the correct Assign Players page and have filtered to the right program, team, or tryout pool, you are ready to remove players.

Step 1: Remove players instead of assigning them

  1. Follow the same steps in Assigning Players to a Team for Invite-Only Programs to get to the stage where you can select players (for example, after filtering and clicking Get Players).

  2. Select the checkbox next to the player(s) you want to reject or remove.

  3. Click Remove (instead of Assign).

After clicking Remove, the selected players will move to the Removed Players tab. This tab will appear to the right of the Assign Players tab once there is at least one player who has been removed.

Step 2: Notify players and families

  1. Open the Removed Players tab.

  2. Select the checkbox next to the player(s) you want to notify.

  3. Click Notify.

This opens the Compose Email page.

  1. Click Insert Template.

  2. Select your Player Rejection email template.

  3. Review the message, then click Send.

Tip: Only templates with the appropriate template type (i.e. Rejection) will appear in the template list. If you are not seeing your rejection template, confirm it is set up correctly in your Email Templates area within Communications.

Step 3: Undo a removal (if needed)

If a player was removed by mistake:

  1. Open the Removed Players tab.

  2. Locate the player.

  3. Click Undo Removal.

This moves the player back to the Available Players list so you can assign and invite them if needed.

If you run into any issues

I do not see the Remove button: Confirm you are in an Assign Players workflow and that you have selected at least one player.

Removed Players tab is empty: Double-check your filters and confirm you clicked Remove (not Assign).

I need to re-add a removed player: Use Undo Removal, then continue with the normal assign and invite steps in the main rostering article.

FAQs

Does removing a player delete their account?
No. It only removes them from the current rostering workflow.

Will families be notified automatically when I remove a player?
No. You must use the Notify option and send a rejection email.

Can I undo a removal?
Yes. Use Undo Removal from the Removed Players tab.

Where do rejection templates come from?
They must be set up in the Email Templates area within Communications and marked with the correct template type.
