Assigning Players to a Team for Open Programs

Learn how to assign and confirm team placement in open programs, including both assignment methods and how player statuses change.

In an open program, families register first, and then admins assign players to teams later. This is common for recreational or house league programs where registrations come in over time and teams are finalized closer to the start of the season.

This is different from invite-only programs, where players are rostered to a team first and can only register after they receive a team invitation.

Before you start

For open programs:

  • Players must have already completed registration before you can place them on a team.

  • You will not send invitations from this workflow. Instead, you will Confirm Placement to finalize the roster.

Where to go

From the Administrator view, go to: Teams > Assign Players

Option 1: Assign Players From Any Program

Use this option when you want a step-by-step assign flow.

  1. On Teams > Assign Players, filter to the program you want to roster.

  2. Select Assign Players From Any Program.

  3. (Recommended) Click Filters to open Advanced Filters and narrow your list.

  4. Click Get Players.

  5. On the Available Players tab, select the checkbox next to each player you want to assign.

  6. To assign in bulk, use the checkbox in the header next to Player Name.

  7. Click Assign.

  8. Select the team you are assigning the player(s) to, then click Save.

  9. Confirm the Team Assignment updates on the Available Players tab and the status shows Assigned.

  10. If a player was assigned incorrectly, click the gear icon and select Unassign Player.

  11. Go to the Rosters & Invitations tab.

  12. Select the checkbox next to the player(s), then click Confirm Placement.

After confirming placement, the Status column updates to Accepted.

Option 2: Assign Players to Teams (drag-and-drop)

Use this option when you want to assign players while viewing teams side by side.

  1. On Teams > Assign Players, filter to the program you want to roster.

  2. Select Assign Players to Teams.

  3. (Recommended) Click Filters to open Advanced Filters and narrow your list.

  4. Click Get Players.

  5. On the Available Players list, select the checkbox next to each player you want to assign, then click-and-drag them into the correct team in the Teams column.

  6. To assign in bulk, use the checkbox in the header next to Player Name.

  7. Click the Up Arrow icon to view the roster list. Players you added will show in an Assigned status.

  8. If a player is incorrectly assigned, click the gear icon and select Unassign Player.

  9. Select the checkbox next to the player(s), then click Confirm Placement.

After confirming placement, the Status column updates to Accepted.

What statuses mean in open programs

Assigned: The player has been placed on a team, but placement is not finalized yet. Parents will not see a team assignment on their player account.

Accepted: Placement has been confirmed and the roster is finalized for that player. Parents will see a team assignment on their player account and have access to the team in the mobile app.

If you run into issues

A player is not showing as available: Confirm the player has completed registration for the program.

A player is on the wrong team: Use the gear icon and select Unassign Player, then reassign and confirm placement again.

Status is stuck on Assigned: Make sure you selected the player on the Rosters & Invitations tab and clicked Confirm Placement.

In open programs, players register first and are assigned later. In invite-only programs, players are assigned and invited before they can register.

Why can’t I assign a player?

When do parents see the team assignment?
Parents see the team assignment after you click Confirm Placement and the status updates to Accepted.

Do I send invitations in open programs?
