Viewing Completed Staff Evaluations

Learn where to find Staff Evaluation forms, track completion and review progress, and open individual submissions to review self-evaluations and evaluator feedback.

Once your Staff Evaluation form is active and assigned, you can use the form’s Submissions tab to track who has completed their evaluation and whether an evaluator has reviewed it. You can also open each submission to review both the self-evaluation and the evaluator’s feedback.

Before you start

This is available on the web browser only.

You will also need at least one Staff Evaluation form created in Staff > Forms.

Step 1: Open your Staff Evaluation form

  1. In the left navigation menu, go to Staff and then Forms.

  2. Locate the evaluation form you want to review, then open it.

If you do not see the form you are looking for
The Forms list filter defaults to showing Active forms only. Update your filters to include all statuses:

  • Incomplete: The form has not been assigned to any evaluatees or evaluators.

  • Active: The form is within the Start Date and End Date window.

  • Inactive: The form is outside the Start Date and End Date window.

Step 2: Review completion in the Submissions tab

  1. Inside the Staff Evaluation form, select the Submissions tab.

  2. Review the status columns:

    • Evaluatee Status: Shows whether each coach or team manager has submitted their self-evaluation.

    • Evaluator Status: Shows whether the assigned Club Admin or Director has completed their review portion.

Step 3: View a completed evaluation and feedback

On the Submissions tab, each evaluatee row includes a View button under the Evaluatee Submission column.

  1. Find the staff member you want to review.

  2. Select View in the Evaluatee Submission column.

  3. Review the full submission, including:

    • The evaluatee’s responses (self-evaluation)

    • The evaluator’s responses and feedback (if an evaluator is assigned and has completed their portion)

Step 4: If you are not seeing expected submissions

If you expected someone to have an evaluation and they are not listed, the most common reasons are:

  • The form is still Incomplete (no evaluatees or evaluators assigned yet).

    • Go to the Assignments tab and confirm evaluatees and evaluators are set.

  • The evaluation window is not open.

    • Go to the Settings tab and confirm the Start Date and End Date.

  • The staff member was not added as an evaluatee.

    • On the Assignments tab, use + Evaluatees and confirm they were included (up to 100 staff per form).

If you run into issues

If the form is Active but no one is completing it, confirm you selected the correct “Who is completing the form” option during setup (Coaches and Director of Coaching, or Director of Coaching only).

If you need to expand who can be evaluated, remember there is a maximum of 100 evaluatees per form.

FAQs

Why don’t I see the evaluation form I’m looking for?

The Forms list filter defaults to showing Active forms only. Update your filters to include Incomplete, Active, and Inactive.

Where do I track who has completed evaluations?

Open the form and use the Submissions tab to review Evaluatee Status and Evaluator Status.

How do I open an individual submission?

On the Submissions tab, find the staff member and select View in the Evaluatee Submission column.

Why is someone missing from the submissions list?

Confirm the form is not Incomplete, the Start and End Dates are within the evaluation window, and the staff member was added as an evaluatee (up to 100 staff per form).
