Custom Role Templates

Learn how to create custom role templates, apply them to staff, and understand what happens when you update a template.

Custom role templates let you create your own reusable permission sets for staff. They’re helpful when Sprocket’s default role permissions do not match how your club operates.

Before you start

This is available on the web browser only.

You’ll need the Role Templates permission to create or edit templates.

Part 1: Set up a custom role template

Use this when you want a consistent permission set you can reuse for multiple staff members.

  1. In the left navigation menu, go to Club and then Role Templates.

  2. Select + Add Template.

  3. Enter a Name for the template.

  4. Select the Role(s) the template should be available for.

  5. Choose the Permissions you want included in the template.

  6. Click Save.

Tip: Keep templates specific and job-based. For example, “Tournament Director” or “Rec Team Manager” is often clearer than a broad label like “Staff.”

Part 2: Apply a custom role template to a staff member

Use this when someone is already in your system and you want to quickly align their access to a template.

  1. In the left navigation menu, go to Staff.

  2. Select the staff member, then open the Roles & Permissions tab.

  3. In the Role Template dropdown, choose the template you want to use.

  4. Click Apply Template, then click Save.

Using templates when adding new staff

When you add a new staff member, any existing custom role templates can be selected from the role dropdown during setup. This is the quickest way to apply the right permissions from the start.

For staff who already exist, you will need to apply the template from their Roles & Permissions tab using the steps above.

Important note about updating templates

If you update a custom role template, the changes do not automatically apply to staff members who previously used that template.

To update staff access after changing a template, you will need to:

  1. Open the staff member’s Roles & Permissions tab.

  2. Select the updated template again.

  3. Click Apply Template and then Save.

If you run into issues

If you do not see Role Templates in the Club menu, confirm your account has the Role Templates permission.

If permissions are not changing after selecting a template, make sure you clicked Apply Template and then Save.
