Before you start
You’ll need access to Communications → Admin Communications.
You should already know who the email is going to, since recipients are selected before you can compose the message.
Where to find the AI email assistant
The AI assistant is available while you’re drafting the email body during the Compose step of a new email.
Create a new email and open the Compose step
In the left navigation, go to Communications.
Select Email.
Click + New Email.
Sprocket will guide you through three steps: selecting recipients, selecting a format, and composing your message.
Step 1: Select recipients
Choose your recipients using the options on the left (for example: Players, Teams, Users, Staff, or User Groups).
Select the individuals or groups you want to email.
If needed, add additional email addresses in Additional Recipients.
Continue to the next step.
Note: When emailing players, parent or guardian recipients will be included automatically based on SafeSport compliance requirements.
Step 2: Select a format
Choose the email layout you want to use (for example: plain email, basic email, or a promo layout).
Continue to Compose.
Step 3: Use the AI assistant while composing
In the Compose step, locate the prompt option that says “Do you want assistance writing this email?”
Click it to open the email assistant.
In the assistant, type what you want the email to say. Include:
Who the email is for
The purpose of the message
Any key dates, links, or next steps
The tone you want (for example: friendly reminder, urgent update, celebratory announcement)
Review the generated draft. There are three options to adjust the draft if needed. You can ask the AI to make the email shorter, make it more professional sounding, or make it more casual sounding.
If it looks good, select Insert to place the text into the email body.
Edit the message as needed, then continue your normal sending or scheduling process.
Tips for better AI results
Start with the outcome: “I need families to register by Friday” or “I need coaches to confirm availability.”
Provide details the assistant cannot guess, like deadlines, locations, refund policy reminders, or links.
Ask for a specific tone if it matters. For example: “Keep this short and upbeat” or “Make this clear and direct.”
Example prompt you can copy
“Write a friendly reminder email to parents that spring registration closes on March 10. Include that late registrations are not guaranteed, and link them to our registration page. Keep it under 150 words and end with a short thank you.”
If you run into issues
If you do not see the AI assistant option in the Compose step, confirm you are in Communications → Email → + New Email and that you have reached the Compose step. If the assistant opens but does not insert text, try generating the draft again and then select Insert once more.
