How to create a one-off payment plan for a specific player, and when to use this instead of a standard payment plan.

Availability: Web browser only.

When to use a custom payment plan

Use a custom payment plan when you need a plan that applies to one player only, for example:

  • special arrangements that should not be available to all families

  • a split household schedule that needs a unique setup

  • a plan that needs manual tailoring after a registration is already in progress

If the plan should be selectable by all families at checkout, use Standard Payment Plans instead.

Create a custom payment plan for a player

  1. In the left navigation, select Players.

  2. Click the player’s Last Name.

  3. Select the Payments tab.

  4. In the left-hand menu, select Custom Payment Plans.

  5. Select Create a New Payment Plan.

From here, the plan builder steps are the same as standard payment plans:

  • Settings

  • Registrations

  • Payments

  • Review and save

Follow the detailed setup instructions in Standard Payment Plans, and build the plan type you need:

  • Dynamic Dates/Amounts (recommended for most cases)

  • Fixed Dates/Amounts (when you need exact payment amounts or multiple payments per month)

Choosing Dynamic vs Fixed for custom plans

When creating a custom payment plan, you will choose between Dynamic Dates/Amounts and Fixed Dates/Amounts. The right choice depends on how much flexibility or control you need.

Dynamic Plans (Recommended for Most Cases)

Dynamic plans automatically adjust when registrations happen after a scheduled due date.

Best for:

  • Seasonal registrations where families enroll at different times

  • Clean schedules without overdue installments

  • Plans that follow a consistent monthly structure

How Dynamic plans behave:

  • Late registrations automatically recalculate remaining payments.

  • Admin or financing fees are automatically spread across payments.

  • Discounts and financial aid can be distributed evenly across installments.

  • Limited to one payment per month.

Fixed Plans (Use When You Need More Control)

Fixed plans give you exact control over payment amounts and due dates.

Best for:

  • Uneven payment amounts

  • Multiple payments within the same month

  • Split household scenarios requiring specific allocations

  • Situations where due dates must not change

How Fixed plans behave:

  • Late registrations do not recalculate the schedule.

  • Missed installments are added as overdue charges.

  • Admin or financing fees must be manually built into the payment amounts.

  • Allows multiple payments per month.

Discount & Financial Aid Settings

When configuring either plan type:

  • Equally Distribute is recommended for fixed-amount discounts and financial aid.

  • Per Payment is recommended for percentage-based discounts.

This is especially important when registrations include optional checkout fees, as different calculation methods can impact installment totals.

Skipping Months

Dynamic plans allow you to skip specific months in the schedule if needed (for example, holiday breaks). Skipping a month extends the schedule while maintaining the installment structure.

FAQs

What is the difference between a custom and a standard payment plan?

A custom payment plan applies to one specific player. A standard payment plan is available to all families at checkout for assigned registrations.

Can families select a custom payment plan at checkout?

No. Custom payment plans are created and assigned directly to a specific player by an admin.

Should I use Dynamic or Fixed for a custom payment plan?

Use Dynamic for most cases, especially when you want admin fees handled automatically and one payment per month. Use Fixed when you need exact payment amounts or multiple payments within the same month.

Can I create a custom payment plan after a player has already registered?

Yes. Custom payment plans are commonly used when a plan needs manual tailoring after a registration is already in progress.
