Learn how to enable Financial Aid applications, approve and award aid, apply aid after registration, and grant Financial Aid manually without using the application process.

How Financial Aid works

There are two common ways clubs grant Financial Aid:

  • Financial Aid applications (recommended when aid is club-wide)
    Families apply, admins review, and approved aid can be set to apply automatically during registration.

  • Manual Financial Aid discounts (recommended when you are not using applications)

    • Admins create and apply Financial Aid directly to a player’s account.

Enable Financial Aid applications

  1. In the left navigation, go to Financial Aid > Settings.

  2. Select the checkbox next to Enable at the top of the page.

  3. Optional: If your club only accepts applications during a set period, set a Window Start Date and Window End Date.

  4. Fill out the fields on the Settings page to provide information for families applying for aid.

Open an individual Financial Aid application outside the window

Use this when your main application window is closed, but you want a specific family to apply anyway. Financial Aid must be enabled for individual applications to be available.

  1. In the left navigation, go to Financial Aid > Individual Applications.

  2. Select + Add Application (top right).

  3. Search for a parent/guardian in the Find an Existing Member modal.

  4. Select the correct member from the dropdown.

  5. Set the window dates for when the application will be open for that individual.

Note: You can also grant aid directly on a player’s account without an application. See Add a Financial Aid Discount below.

Approve aid from an application

Use this path when the parent has not registered the player yet. Approved aid can be set to apply automatically during registration.

  1. In the left navigation, select Financial Aid.

  2. Select the applicant with a Pending status.

  3. Review the submitted information and any uploaded documents.

  4. In Approve/Deny:

    • Choose Approve or Deny

    • If approving, choose Fixed Amount or Percentage

  5. Under the player list, set awards and where they apply:

    • Enter the Amount for each player (if needed)

    • Set Assignment Settings to define which Program Type(s), Program(s), and Registration(s) the aid should apply to automatically

  6. Set the Effective Date, Expiration Date, and Fiscal Year.

  7. Optional: If your club charges an admin fee on payment plans, enable Waive Registration Admin Fee so the family is not charged that fee.

  8. Select Submit Review.

Admins with the Financial Aid permission receive an email notification when a new application is submitted.

Apply aid from an application after a player has already registered

Use this path when the aid is approved after the player has already registered, so it needs to be applied manually.

  1. In the left navigation, select Players, then click the user’s last name.

  2. Select the Programs tab.

  3. On the registration, select the ellipsis ( ... ), then select Apply Credit/Discount.

  4. Find the Financial Aid in the Existing Credit/Discount dropdown.

  5. Choose how you want the aid applied if the player is on a payment plan:

If the aid is Percentage:

  • Calculate percentage from List Price or Remaining Balance

  • Choose whether the aid is applied equally, to the first payments, or to the last payments

If the aid is Fixed Amount:

  • Choose whether the aid is split equally among payments, applied to the next payment, or applied to the last payment

  1. Review the calculation, then select Apply.

Add a Financial Aid Discount (manual, no application)

Use this if your club does not want to use the Financial Aid application, or you want to grant aid directly.

  1. In the left navigation, select Players, then click the player’s Last Name.

  2. Select the Payments tab.

  3. In the left-hand menu, select Credits/Discounts.

  4. Select + Create a new Credit/Discount.

  5. Enter a clear name (example: “Financial Aid Granted MM/DD/YYYY”).

  6. Select the Credit/Discount Type:

    • Fixed Amount (dollar amount)

    • Percentage (percentage of list price)

  7. Set the Category to Financial Aid.

  8. Set an Expiration Date (typically through the end of the season).

  9. Optional: If your club charges an admin fee on payment plans, enable Waive Registration Admin Fee.

  10. Set Assignment Settings to define which Program Type(s), Program(s), and Registration(s) the aid should apply to.

  11. Select Save.

If you run into issues, the two fastest checks are: whether the admin has the right Financial Aid permission, and whether the Assignment Settings include the program or registration you expected the aid to apply to.

FAQs

What is the difference between Financial Aid applications and manual Financial Aid discounts?

Financial Aid applications allow families to apply and admins to review and approve aid that can apply automatically during registration. Manual Financial Aid discounts are created and applied directly by admins without using the application process.

Can I approve Financial Aid after a player has already registered?

Yes. After approving aid, you can manually apply it to the existing registration using Apply Credit/Discount.

Why isn’t the approved Financial Aid applying automatically?

Check whether the Assignment Settings include the correct Program Type(s), Program(s), or Registration(s), and confirm the admin has the proper Financial Aid permission.

Can I waive the admin fee when granting Financial Aid?

Yes. If your club charges an admin fee on payment plans, you can enable Waive Registration Admin Fee when approving or creating Financial Aid.
