Incomplete Registration Emails

Learn how to configure Incomplete Registration Emails, set form-level defaults, and override reminder content for specific registrations.

Updated over 2 weeks ago

Incomplete Registration Emails help nudge families who started a registration but did not finish it. Once configured, the system can automatically send an email 24 hours after a prospective registrant begins a registration and leaves it incomplete.

This article explains:

  • Where to configure Incomplete Registration Emails

  • How default reminders work at the Registration Form level

  • How to override those defaults on a specific registration

Note: You must already have at least one registration created before you can configure these emails, since both access paths depend on existing registrations and registration forms.

1. Setting default Incomplete Registration Emails on a Registration Form

The primary way to turn on Incomplete Registration Emails is at the Registration Form level. This sets the default behavior for every registration that uses that form.

1.1 How to access the Registration Form Email Settings

  1. Go to Programs > Manage Programs.

  2. Click the Registration Forms tab.

  3. Select the Registration Form you want to configure.

  4. Open the Email Settings tab on that form.

On this tab you will see two sections:

  • Registration Receipt Email Settings

  • Incomplete Registration Email Reminder Settings

The first section controls default confirmation emails. The second section is where you enable and define incomplete reminders.

1.2 Registration Receipt Email Settings (context only)

At the top of the Email Settings tab, you will see:

  • Email Subject

  • Email Header

  • Email Text

  • Include Payment Receipt on Email (checkbox)

These fields set the default registration receipt email for all registrations using this form. They can be overridden later on a registration by registration basis.

Best practices (matching your general email guidance):

  • Use the same or very similar text for Email Subject and Email Header, since different email providers use one or the other.

  • Keep Email Text clear, confirming what the user registered for and what to expect next.

These are not specific to incomplete reminders, but they live in the same area, so it helps admins understand they are in the right place.

1.3 Incomplete Registration Email Reminder Settings

Below the receipt settings is the section that controls incomplete reminders.

You will see a checkbox with the label:
Send Email 24 hours after the prospective registrant starts, but does not complete, their registration.

This checkbox controls whether incomplete reminder emails are sent at all.

If the checkbox is unchecked:

  • No automatic incomplete reminder emails are sent for any registrations using this form.

If the checkbox is checked:

  • The system will send a reminder email 24 hours after a user starts but does not complete a registration, and

  • Additional fields will appear:

    • Email Subject (required)

    • Email Header (optional)

    • Email Text (required)

These fields define the content of the incomplete reminder.

1.3.1 Best practices for incomplete reminder content

To keep the experience consistent and clear:

Email Subject and Email Header

  • Use the same or nearly the same text in both fields.

  • For example:

    • Subject: You started your registration, here is how to finish it

    • Header: You started your registration, here is how to finish it

This follows the same pattern used in the Registration receipt emails, where some providers use the subject while others display the header prominently.

Email Text

  • Clearly remind the user that:

    • They started a registration,

    • It is not yet complete, and

    • How to return to complete it (for example, by logging back into their account).

  • You can also reinforce any key deadlines or capacity constraints if that is relevant.

Once saved:

  • These Incomplete Registration Email Reminder Settings become the default for all registrations that use this Registration Form.

  • Every registration tied to this form will send the same reminder content 24 hours after an incomplete registration is started, unless it is specifically overridden at the registration level.

2. Overriding Incomplete Registration Emails on a specific registration

In some cases, you may want different incomplete reminder language for specific registrations, even if they share the same Registration Form. For example:

  • A camp with very limited spots and a strict deadline

  • A league registration where the follow up steps are more time sensitive

To handle this, you can override the Incomplete Registration Email content directly on a registration.

2.1 How to access registration-specific Email Settings

  1. Go to Programs > Manage Programs.

  2. Open the Program containing the registration you want to adjust.

  3. Go to the Registrations tab.

  4. Click into the specific registration.

  5. Open the Email Settings tab.

On this tab, you will see:

  • Registration specific Receipt Email Settings (which we used in the registration creation article), and

  • A section for Incomplete Registration Reminder Email Settings for this specific registration.

2.2 What you can override

At the registration level, you can override:

  • Incomplete Reminder Email Subject

  • Incomplete Reminder Email Header

  • Incomplete Reminder Email Text

When you enter values here:

  • These values replace the defaults from the Registration Form’s Email Settings for this registration only.

  • The timing behavior stays the same:

    • The system still uses the 24 hour window after a user starts but does not complete registration.

If you leave these fields blank at the registration level:

  • The registration continues to use the Registration Form defaults for Incomplete Registration Emails.

3. When to use form-level vs registration-level settings

A quick way to decide where to configure incomplete reminders:

Use the Registration Form Email Settings when:

  • You want a standard, consistent reminder for most or all registrations that share a form.

  • You are setting up club wide defaults and do not need unique messaging per registration.

Use the registration-specific Email Settings when:

  • A particular registration has unique context, such as important deadlines or limited capacity that should be called out.

  • You want a tailored tone or message for a high priority program without changing defaults for everything else.

In practice:

  • Start by turning on incomplete reminders at the Registration Form level.

  • Then selectively override the Subject, Header, and Text for specific registrations that need custom messaging.

4. Summary

Incomplete Registration Emails help recover in progress registrations by automatically reminding users 24 hours after they start but do not complete the process.

To use them:

  • Turn on “Send Email 24 hours after the prospective registrant starts, but does not complete, their registration” on the Registration Form > Email Settings tab and define the default Subject, Header, and Text.

  • Optionally override those defaults on the registration’s Email Settings tab if you need registration specific reminder content.

Once configured, these reminders work quietly in the background, giving parents a clear prompt to finish what they started and helping your club capture more completed registrations without additional manual outreach.
