Use this checklist:
When transitioning from Birth Year to Grade Year age groups
Before launching Tryouts
Before creating a new Core Program for a new season
During seasonal rollover (ex: 26/27 setup)
Before opening registration
This checklist is designed as a full verification step to ensure your Programs, Registrations, Teams, Payments, and Invitations are aligned.
Core Programming Setup Checklist
(Soccer) Age Change from Birth Year to Grade Year
Determine how you would like to manage new age group settings
Update Age Group start date under Club > Profile
Tryout Setup: Tryouts Setup & Support Checklist
Create new tryout program(s)
Tryouts Module: Tryouts User Guide
Check or adjust Player Pools, as needed
Review Staff Permissions
Create Tiers
Configure Evaluation Templates

Create new core program(s) please note that all details of program do NOT need to be confirmed prior to tryouts
Recommendation: Instead of duplicating the program, create a new core program for 26/27. On the Registration step you can duplicate a registration from the prior year
Duplicate the Registration Form and adjust as needed
Create new payment plans for core program

Waivers:
You can reuse waivers year over year if there is not a date included (i.e. generic waivers like refund policy, photo or liability release)
Otherwise, duplicate the waiver and adjust the dates
Include new waivers on the new Registration Form
Teams:
Import new teams (+ optionally inactivate old teams)
Include Competitive Level and League Designation (soccer clubs)
Import Teams: All you need is team name for new teams
Include 26/27 in the team name
Add teams at the Program and Registration Level
If no teams are tied to a registration, everyone will see that invite
If teams are assigned to two registrations, an invited player will see both registrations
Be sure to click Save at the bottom of this page
Invitations:
Check Staff permissions for sending invites
Create or modify new invitation templates
Ask questions about rostering and invitations
Team Setup, Rostering, and Invitation Guide
Financial Aid:
Set up the financial aid application in Sprocket if changes are needed

Should I duplicate my prior year core program?
The recommendation is to create a new core program for the new season and duplicate the registration instead of duplicating the entire program.
Why should I include 26/27 in the team name?
Including the season in the team name helps distinguish new teams from prior-year teams and prevents confusion.
Do all program details need to be finalized before tryouts?
No. All program details do NOT need to be confirmed prior to tryouts.
What happens if no teams are tied to a registration?
If no teams are tied to a registration, everyone will see that invite.
