Teams in Sprocket can show up in different places depending on their status. Understanding the difference helps when you are looking for a team, building schedules, or reviewing reporting.

What you’ll find in this article

  • What makes a team Active vs Past

  • What it means to mark a team Inactive

  • When to use Inactive vs letting a team become Past automatically

  • How these statuses affect calendars, the mobile app, and reporting

Active Teams

Active Teams are teams assigned to programs that are currently active, meaning today falls within the program’s Start Date and End Date window.

Active teams support key workflows like:

  • Creating calendar events for that team (practices, games)

  • Using the mobile app for team communication

If a team is not showing up where you expect for scheduling or communication, checking the program’s dates are a good first step.

Past Teams

Past Teams are teams assigned to programs that have ended, meaning the program is now after its End Date.

Past teams are mainly used for historical reference and recordkeeping.

Inactive Teams

An Inactive Team is a team that has been manually marked as inactive.

When a team is inactive:

  • It is removed from the Teams Setup list unless your filters include inactive teams

  • It is removed from reporting and dashboards

Important reporting note

Marking teams inactive can create downstream reporting issues. For example, financial reports may not match expected totals if teams are inactive and therefore excluded from certain reports or dashboards, even if revenue was generated.

When to mark a team inactive

In most cases, you should let teams become Past automatically when the program end date passes.

Only mark a team Inactive when you intentionally want to remove it from standard lists and exclude it from reporting and dashboards, such as:

  • The team was created by mistake or is a duplicate

  • The team should not be used going forward and should not appear in reporting

Tip: If you are closing out a season and still need accurate historical reporting, avoid marking teams inactive. Past status is usually the right fit.

If you are not sure which status applies

A quick way to narrow it down:

  • If today is within the program start and end dates, the team should be Active

  • If the program end date has passed, the team will be Past

  • If the team is missing from lists or reports, check whether it has been marked Inactive, and whether your filters include inactive teams

FAQs

Why isn’t my team showing up for scheduling?
Check the program’s Start Date and End Date. If today is outside that window, the team may be Past instead of Active.

What happens if I mark a team Inactive?
Inactive teams are removed from standard lists, dashboards, and reporting unless filters include inactive teams.

Should I mark teams Inactive at the end of a season?
In most cases, no. Let the team become Past automatically when the program end date passes.

Why are my reports missing data for a team?
Confirm the team has not been marked Inactive, as inactive teams may be excluded from certain reports and dashboards.
