Setting Up a Scheduled Report

Learn how to create and configure a Scheduled Report, set frequency options, control reporting period timing, and manage email notifications for automated report delivery.

This article walks administrators through how to create and configure a scheduled report. You will start by selecting the report you want to schedule, which becomes the template for automated delivery. From there, you can set the reporting period, choose when and how often the report should run, and decide whether to receive an email notification each time it is ready.

Before you start

  • Scheduled Reports are available on web browser only.

  • The staff member creating or managing scheduled reports must have the Scheduled Reports permission enabled.

  • Club Admin is the only role that receives this permission automatically.

  • If you do not have the permission, you will not see Scheduled Reports in the left navigation.

How scheduled report timing works

Scheduled reports use a limited reporting period filter for automation. In scheduled runs, the reporting period is controlled by Transaction Date.

Reports generate automatically at approximately 3:00am CT the day after they are scheduled to run.

Example: If you schedule a report to run on the 15th, it will generate early on the 16th to include all transactions from the 15th.

1) Go to Scheduled Reports

  1. Navigate to Reports in the left navigation menu.

  2. Select Scheduled Reports.

2) Create a new scheduled report

  1. Select + New Scheduled Report in the upper-right corner.

  2. In the Report dropdown, select the report you want to schedule.

3) Set the reporting period

In the Reporting Period Date section, choose the option that matches how you want the scheduled report to calculate its reporting date.

The exact options can vary by report, but the selection you make here controls the reporting period logic used for each scheduled run.

4) Choose when and how often the report runs

In the Report Schedule section:

  1. Select a Frequency:

    • Daily

    • Weekly

    • Monthly

  2. Select a Start Date.

If you choose Weekly, you will also select which day of the week the report should run.

If you choose Monthly, you will choose one of these scheduling options:

  • A specific day of the month (you will enter the day)

  • The last day of the month

  • The first business day of the month

5) Name the schedule and set email notifications

  1. Enter a Schedule Name so it is easy to find later in the Scheduled Reports list.

  2. Use the Email Notification toggle to choose whether you want to receive an email each time the report runs and is ready for download.

6) Save the scheduled report

  1. Select Save Scheduled Report.

After saving, your scheduled report will appear in the Scheduled Reports list, where you can locate it later to review status and make changes as needed.
