Use this guide to get familiar with the core terms you will see throughout Programs and Registrations.

WHAT IS A PROGRAM?

A Program is the highest-level bucket where your registrations live. It represents the overall offering, such as “Fall Soccer” or “Summer Camp.”

Programs can be set up as Open or Invitational with Registration.

The Program level controls how your season is structured and how families will ultimately see and access registration options.


WHAT IS A REGISTRATION?

A Registration is the sign up flow that parents and players complete to join a Program.

In a Registration, admins can:

  • Set pricing.

  • Configure player eligibility, including different age-based rules.

  • Include or exclude players based on their past registration history.

  • Define the steps a parent will move through, such as questions to answer, waivers to accept, and payment to complete.


WHAT ARE TEAMS IN THIS CONTEXT?

Teams are how players are grouped for rostering, communication, and scheduling in the mobile app and Calendar. The available Team behavior depends on the Program type.

There are three main ways Teams can work:

Traditional Teams
Admins manually roster players to teams. This can happen before registration (for Invitational Programs) or after registration (for Open Programs).

Grouped By Registration
Teams are not created, but players can be grouped together automatically by the system to utilize the calendar, messaging, and more.

No teams needed
The Program does not use any team structure. Players are not rostered to teams, and team-specific mobile app features and calendars are not available for this Program.


WHAT IS AN INVITATIONAL PROGRAM WITH REGISTRATION?

In an Invitational with Registration setup, admins control exactly which players are offered a spot.

  • Admins roster players to a specific team and send an invitation.

  • Each Registration is tied to a team or group of teams so that invited families see the correct price and registration steps for their team.

  • Parents accept the spot by completing the linked Registration.


WHAT IS AN OPEN PROGRAM?

In an Open Program, players do not need an invitation to sign up.

  • Players can register for anything they are eligible for, based on criteria such as age and gender.

  • Eligible Programs and Registrations appear in the Open Programs widget on the player or parent dashboard.

  • Families can browse their options and register directly from there.


WHAT ARE GROUPED REGISTRATIONS?

Grouped Registrations help you organize a large number of registrations within a single Program. This only affects the display of the program to parents on their User Dashboard and does not affect the display of registrations to admins.

  • Admins can create folders and place different Registrations into those folders to keep things organized.

  • When Grouped Registrations are enabled, players see the general Program name in the Open Programs widget, rather than a long list of individual Registration names.

  • Parents click into the Program, then into an admin-named folder, to see all the specific Registrations their player is eligible for.


If you are ever unsure which of these setups is best for your organization, start by thinking about how you want families to find your offerings and how much control you want over who can register. The Program type, Registration setup, and Team behavior can then be chosen to match that approach.tch that approach.
