Use this checklist to troubleshoot why a parent or player cannot see a registration, including date windows, grouped registrations, invitational setup, capacity limits, and registration form configuration.

When a parent or player says they cannot see a registration to sign up, the cause is almost always a visibility rule, an invitation setup issue, or capacity.

This article is a quick checklist of the most common blockers and where to check them.

1) Program Dates or Registration Dates Are Not Open

What families see

  • The program does not show in Open Programs.

What to check

  • Program Start Date and End Date

  • Registration Start Date and End Date

Where to check

  • Programs > Manage Programs

  • Open the Program and confirm Start/End Dates

  • Programs > Manage Programs > Registrations

  • Open the Registration and confirm Start/End Dates under the registration’s setup (Basic Info)

How to fix

Update the Program dates and the Registration dates so the current date falls within both windows.

2) Grouped Registrations Behavior Is Misunderstood

What families see

  • The program shows, but they do not see any registration options.

What to check

  • Grouped registrations are enabled at the Program level

  • The registration is assigned to the correct Registration Group

  • The registration is within its active date window

Where to check

  • Program settings for Grouped Registrations

  • Registration Display Settings for Registration Group and Sort Order

  • Registration Start/End Dates

How to fix

  • Ensure the registrations are assigned to the correct group and have open dates.

  • Consider adding helpful Program-level Details if parents need guidance while drilling into grouped options.

3) Invitational Program Is Not Fully Set Up

What families see

  • A family expects to accept an invitation, but nothing appears to accept.

What’s happening

Invitational visibility depends on the team invitation flow. The system needs to know which registration applies to the invited team.

What to check

  • The player is rostered onto the intended team

  • The team is linked to the correct registration

  • The invitation has been sent

  • The parent is logging in under the same account that received the invitation

Where to check

  • Programs > Manage Programs > Program > Teams / Rosters (as applicable)

  • Registration setup where teams are assigned to registrations for Invitational programs

How to fix

  • Add the player to the correct team.

  • Make sure that team is tied to the correct registration.

  • Resend the invite if needed and confirm the login account matches the invited email.

4) Registration Is Full and There Is No Waitlist

What families see

  • The registration previously appeared but now is no longer available to select.

What to check

  • Total Max Capacity

  • Whether Enable Waitlist is checked

Where to check

  • Registration > Max Capacity tab (Step 6)

How to fix

If your club wants to keep accepting interest:

  • Enable the waitlist

If you want to allow more registrations:

  • Increase Total Max Capacity

Otherwise, leave capacity as is and communicate the registration is full.

5) Registration Does Not Match the Intended Flow

What families see

  • The program appears but the registration experience does not match what the club intended (or there is nothing meaningful to complete).

Examples

  • A Team Registration Form is used when the club expects player signups

Where to check

  • Registration > Registration Form tab (confirm form type)

  • Program type and Training Sessions connection to time slots (as applicable)

How to fix

  • Attach the correct form type (Player vs Team vs Training Sessions) to the registration.

  • For Training Sessions, ensure time slots are configured and connected properly.
